The Challenge

Faced with a backdrop of needing to improve customer experience, manage legacy down to reasonable levels, invest in technology ahead of the curve, structure IT for success and build technical operational excellence our client, a leading UK telecommunications business, embarked upon a major transformation programme in 2016 termed Better Tech.

Having reached the end of Q3, the Portfolio had failed to mobilise any of its major Programmes. Fast approaching year end, with under 40% of its budget utilised and FY17 budget planning starting, fundamental changes were required of the Portfolio’s Organisation, Structure and Governance.

The Solution

Working directly for the Portfolio Director, we worked collaboratively in restoring lost confidence with the IT Directors and Board of Directors.

Once engaged, we took it upon ourselves to reach out to stakeholders in the organisation at all levels to better understand the FY16 priorities and aligned this with the “as-is” Portfolio. This laid the groundwork for restructuring the Portfolio for FY16.

Conducting a maturity assessment of the current inflight projects, P2 reviewed all areas of the Portfolio from a delivery perspective with a focus on governance, planning, reporting and status reporting.

Our responsibilities also included coaching IT Directors on the change framework.

Client Benefits

Confidence in the Portfolio delivery team and PMO was improved, both within the Portfolio community and amongst senior stakeholders including the Managing Director of the client. A Portfolio governance solution was designed, built and signed off by the CTO prior to being implemented by us. This enabled a structured process for managing escalations, engaging stakeholders and improving project delivery.

A robust Portfolio reporting process was established, providing upfront project delivery updates which helped prioritise intervention activities across the Portfolio. This also aided in providing a consistent approach to producing Board and Steering Committee Papers. The Portfolio was restructured, with expectations reset at Board level for FY16 deliverables and scope.
